PROtech Inc. – Trusted AI Solutions

Trusted AI Solutions · Records digitisation

Old records, made searchable. And checked.

We turn handwritten cards, deeds, minutes, photos and laws into records you can search, and build the website where you find them. Every page is read twice, separately. If the two readings don't match, we look at the original again, or mark it for you to check.

AI-assisted. Independently checked. Clearly documented.

Registered in Barbados since 2004.

What we do

Four services, one standard: it has to work, every time.

Records digitisation

Handwritten cards, ledgers, minutes, deeds, photos and laws, typed up and made searchable, with a picture of the original beside every entry. Everything is read twice, and anything uncertain is flagged.

  • Old records and photos you can search by name, date or subject
  • Laws updated with every change written in
  • A website or online portal to find it all, private for your team or open to the public
  • Set up your way: your branding, layout, search and download formats
  • An admin desk so your team can correct, add and update records themselves

Meeting rooms

Rooms where everyone is heard, in person or on a call. We design, set up and install each room: microphones, cameras, displays and how it all connects.

  • Wireless microphones and conference systems
  • Rooms set up for video calls on Teams, Zoom and Google Meet
  • Room layouts, seating and microphone plans
  • Installed, tested and handed over by our own team

Recording and transcription

Conferences, board meetings and public sittings, recorded so every speaker is captured, then turned into a clean transcript you can search and keep.

  • Recording of conferences and meetings
  • Transcripts written up in the style you prefer
  • Any name or number we can't confirm is pointed out for you to check

Networks

Network infrastructure installed properly and looked after: cabling, Wi-Fi and network equipment, documented and kept running.

  • Network installation: cabling, network points and equipment
  • Wi-Fi planned for your building
  • Network administration and support, as agreed with you

How it works

Accuracy first. If we're not sure, we say so.

  1. 1. Scan

We scan your records and photos, or use your own scans. Every picture of the original is kept.

  2. 2. Read twice

Two separate readings of every page, done with the help of AI. Neither reading sees the other.

  3. 3. Compare and check

The two readings are compared line by line. Where they differ, we look at the original again.

  4. 4. Put it online

Everything goes on a searchable website, with the original beside the typed text. Anything uncertain is marked TO CHECK.

We type what is written. What we can't read, we flag. We never invent it.

Who it's for

Records people still need, but can't search.

Co-op and condo boards

Decades of minutes, house rules and renovation files, searchable by unit, date or subject.

Law and title firms

Old deeds, closing files and building records, typed and indexed so a search takes minutes, not days.

Archives and historical societies

Handwritten ledgers, card indexes, registers and photo collections, made searchable without losing the original.

Parliaments and public bodies

Laws with every change written in, debate transcripts, index cards typed up, and the website to share them.

Case study

Parliament of Barbados Library: pilot site

The Barbados House of Assembly first met in 1639, making it one of the oldest parliaments in the Commonwealth. For about forty years, from the 1960s to 2008, the Clerk's office kept a handwritten card index of the business of the House. Every card is now typed up and searchable, shown beside a picture of the original card.

We designed and built the website itself. It also carries the Laws of Barbados with every change written in, and draft reports of debates, all clearly marked unofficial.

Subject index cards
Every card read twice; anything uncertain highlighted for a person to check
783 HEADINGS
Laws "as they are today"
Each law shown as first passed and as it stands today, with every change noted
36 ACTS
Debate reports
Recordings turned into written reports in the Parliament's style, with every doubt listed
DRAFTS

A real card from the pilot: the handwritten Firearms card, card no. 17, and below it the same six entries typed up, with the same years, wording and dates.
From the pilot: the original handwritten card, and the same card typed up line for line. Unofficial.
A law's details on the pilot site: Cap. 109B Administrative Justice, showing that it is in force, when it started, how to cite it, the two Acts that changed it since 2008, and the rules made under it.
From the pilot site: a law at a glance. Is it in force, when it started, how to cite it, and every change since 2008. Unofficial.

What we promise

  • Nothing invented
We type what is written. A word we can't read is marked, never guessed.
  • The original stays beside it
Every typed entry sits next to its scan, so anyone can check.
  • Doubts in plain sight
Uncertain entries are marked TO CHECK with a note saying why.
  • Clear about what it is
A search tool, not an official copy. Your official record is still the one that counts.

Your records, handled with care

The questions careful buyers ask. Answered up front.

You own everything

The scans, the typed text and the website are yours. You can take a full copy at any time, in standard formats such as PDF, image files and spreadsheets.

Handling agreed in writing

Before we start, we agree with you how your records travel, who handles them, where they are kept, and when they come back.

We show our numbers

In the Parliament pilot, about 95% of entries matched on the first two readings. The rest were settled by a third look or marked TO CHECK. You get the same figures for your project.

A pilot with clear measures

We start small, on a sample of your records, and agree up front how the result will be judged: accuracy, turnaround and the formats you need.

Private stays private

We build the portal and your team enters any confidential information directly, so it never passes through our hands. Host it on your own account or server, or let us host it with logins so only your people can see it. Your choice.

Update it yourself

An admin desk lets your staff correct entries, add new records and publish updates without waiting for us. We train your team, and we are here when you need help.

Questions

Good questions. Plain answers.

Can we start with a small sample?

Yes. We start with a small pilot on a sample of your records. You see the finished result before deciding on the full job, and the pilot fee is credited against it.

What happens when handwriting is unclear?

Every page is read twice, independently. Where the readings differ, a third look at the original settles it. If a word or date still can't be read with confidence, it is marked TO CHECK with a note saying why. We never guess.

Are digitised records certified copies?

No. They are a search tool, shown beside pictures of the originals. Your official record is still the one that counts.

Do you build the website too?

Yes. We can build and publish a website or online portal where you, your team or the public can search your records. It can be private or open to everyone, and we set it up your way: your branding and colours, how records are laid out and searched, and the formats you need, such as web pages, PDFs or spreadsheets. The Parliament of Barbados Library pilot is an example.

Can you digitise photos?

Yes. We scan photographs and add a short description to each one, such as the date, the place and any names written on it, so you can search for them. We describe only what we can see or what is written down. We never guess who is in a photo.

Who owns the digitised records?

You do. The scans, the typed text and any website we build for you belong to you. You can ask for a full copy at any time.

What formats will we get?

We agree this with you at the start. Common choices are a searchable website, PDFs, image files and spreadsheets, so your records can be used in other systems too.

How long does it take?

It depends on how many pages there are and their condition. The pilot gives a real timing for your records, so the full quote includes a realistic schedule.

Can we update the records ourselves?

Yes. We give you an admin desk, a simple editing tool, so your staff can correct entries, add new records and publish updates themselves. We train your team, and we are here when you need help.

Can we keep confidential information to ourselves?

Yes. We build the portal and your team enters any confidential information directly, so it never passes through our hands.

Where is the portal hosted?

That is your choice. We can set it up on your own account or server, or host it for you with logins so only your people can see it.

Do you only work in Barbados?

We are based in Bridgetown, Barbados, where PROtech has been registered for over 20 years, and we work with clients in New York and elsewhere. Most records work is done from scans, so distance is rarely a problem.

Can you help with a meeting room or an event?

Yes. For a room, tell us its size and how many seats. For recording and transcription, tell us the date and length of the event. We'll suggest the right starting point.

How do you handle confidential records?

Tell us at the start. We agree how your records will be sent, stored and returned before any are shared. Please don't send confidential material through the enquiry form.
